Job Description:  Director of Special Events, University of West Georgia



Nature of Work

The Director of Special Events designs, develops, and executes a comprehensive special events strategy to support fundraising priorities, donor cultivation and stewardship. Working closely with the Associate Vice President for Constituent Relations and Engagement, this position seeks to support and complement the broader mission of University Advancement and the Office of the President to create experiences that cultivate relationships, recognize loyal supporters, enhance brand awareness, and foster a sense of belongingness and connectedness while dedicating ourselves to the curation of a first-choice university. The Director will serve as the single point of contact and accountability for high visibility, signature, and VIP events, held both on and off campus, and be responsible for all operations, implementation, and post-event activities.

    • In partnership with team members and other key leaders, ensure the continued enhancement and success/growth of events (large-scale gala or formal events, dinners, receptions, luncheons and board meetings, signature events, chair and professorship dedication celebrations, reunions and alumni events, cultivation and stewardship events, groundbreaking and grand opening ceremonies, etc.)
    • Help design event program/content flow, schedule and coach event speakers, coordinate communication and marketing materials, and event-follow up to achieve desired outcomes.
    • Coordinate event logistics and arrangements by creating task assignments and liaising with catering, facilities/venues, parking and transportation,  technology and equipment, in coordination with appropriate university departments, as well as planning for signage, decor, invitations, programs, and presentation materials.
    • Draft event briefings for the President, Vice President and other key staff. 
    • Update Master Events Calendar and other calendars with most current event information.
    • In coordination with the AVP, develop program budgets, and negotiate and administer service, location, venue and partnership contracts. 
    • In collaboration with colleagues, determine invitation criteria for special events, organize and review invitation lists for consistency and accuracy and manage event attendance processes in Blackbaud. 
    • In collaboration with senior colleagues and the vice president, provide the thought partnership and execution for signature events such as galas and other fundraising events to set the overarching tone for the theme, ambiance, and messaging – consistent with the institutional brand. 
    • Identify best practices and develop and recommend event operating procedures, timelines, logistical templates, and runs of shows. 
    • Proactively stay up-to-date on current industry practices/standards in the signature events world and create programs that remain fresh and relevant to stakeholders. 
    • Some travel, evening and weekend work may be involved.

Requirements



Required Qualifications

  • Bachelor’s degree and three years of related experience in event planning or related experience required.
  • Excellent written, oral and communication skills.
  • Effectively multitask, establish priorities and work in a fast paced environment; highly efficient in time management, meeting deadlines under pressure. 
  • Detail-oriented and strong organizational skills; demonstrate competency when handling diversified assignments.
  • Effective interpersonal skills, listening, diplomacy, and tact to build strong relationships with all levels within the organization, including leadership, campus colleagues, staff, volunteers, friends, and supporters.
  • Ability to maintain confidentiality
  • Must be incredibly well organized and able to manage multiple events concurrently; extremely resourceful
  • Ability to negotiate and manage contractual arrangements
  • Working expertise and knowledge of Microsoft Office 

Preferred Qualifications

  • Experience in higher education or not-for-profit special event planning.
  • Experience in a fundraising environment. 
  • Knowledge of public institution purchasing principles, procedures, regulations, and standards.


Physical Requirements/Working Conditions

  • Ability to work evenings and weekends based on the event timing
  • Standard office environment; may be required to do some light lifting in conjunction with institutional events; must be able to climb stairs and stand on your feet for several hours. 
  • Some travel required. 

Describe any budgetary responsibilities

  • Independent determination of event budgets and overall logistical requirements; negotiation of terms of vendor service contracts and contract administration; and the ability to monitor, manage, control, and steward event budgets and negotiate for all necessary contracts.
  • Knowledge of public institution purchasing principles, procedures, regulations, and standards.


Describe the type of decisions this position makes and what are the consequences of error

Events and relationships with the institutional constituents could be compromised if event planning, execution and interactions are not handled appropriately. This could negatively affect fundraising and friend raising, as well as tarnish the reputation of our university.
