Description

NJ Advance Media is looking for an Events Coordinator to assist with the planning and execution of scheduled sponsored events including conferences and webinars, educational programs and consumer events.  The Events Coordinator is responsible for coordinating the logistics for each event, including monitoring ticket sales, acting as speaker and sponsor liaison, and maintaining lists and databases. 

What you'll be doing:

  • Work with cross functional teams to promote, sell and market events.
  • Handle ticket sales through the online registration and oversee attendance.
  • Run detailed reports and create/manage attendee and sponsor prospect lists.
  • Schedule and attend speaker rehearsals, walkthroughs, sales meetings, etc.
  • Create event materials as needed (presentations, sales decks, program, signage, etc.)
  • Develop relationships with vendors, i.e., hotels, restaurants, caterers, audio visual companies).  Utilize vendor trades whenever possible to assure we produce a high-quality events with highest profit margins.
  • Track schedules to assure budget completion of contract.

Requirements

Our ideal candidate will have the following:

  •      High school diploma or equivalent, bachelor’s degree in marketing, communications or related discipline a plus.
  •      Minimum one year administrative or coordinator experience, preferably in events, public relations, marketing, sales.
  •      Public speaking and writing skills a plus.
  •      Strong organizational skills and ability to multi-task in a timely and efficient manner.
  •      Demonstrated initiative and ability to work independently and within a team.
  •      Strong customer service skills.
  •      Ability to utilize various media to effectively reach audiences (i.e. digital, print, social media, mobile); ability to determine appropriate channels for the distribution of various products and services.
  •      Ability to adapt and learn new systems, procedures and programs as necessary.
  •      Canva, Zoom and ticketing platforms a plus.
  •      Proficiency in Microsoft products – Word, Excel, PowerPoint, Outlook, Teams – a plus
